Roboform: Using folders to organize logins

Too many logins?

Roboform is password management software that automatically saves usernames and passwords in secure and encrypted Passcards. One of the best features is using the Roboform icon on the taskbar to bring up a list of your saved logins, click on the one you want and the program will automatically take you to the correct web page and launch you. A small number of saved logins and access cards does not present a problem. However, over time, your logins start to add up to possibly hundreds. At this stage, the window showing Logins will fill up and require you to click the arrows in the corners to scroll through possibly multiple pages to find the correct one.

Roboform and folders

Many Roboform users may not be aware that the Program now supports the use of folders to organize Passcards. I got up to 465 Passcards before I discovered this. Folder support was added about 2 years ago, but it’s not that obvious in the program. First you need to create a series of folders suitable for your logins, for example webmail, banking, shopping, vacation, social media and whatever else suits your needs. Folders can also be divided into subfolders. Then, when you click on the Roboform taskbar icon, you will see a list of folders and any logins not assigned to a folder in the window. Click on the relevant folder and a sidebar will appear listing all the Passcards in that folder and any sub-folders you have created.

Creating and organizing folders in Roboform

It is possible to create new folders directly in the program interface. First click on the Roboform icon, then from the bottom left of the widow click on new and in the popup box to create a top level folder click on Home in the right pane. If you want a subfolder, click the top level folder in the list. In the same pop-up box on the right, click New Folder and enter the name. You can achieve the same result in the edit menu by clicking Passcard then Folder then New Folder.

There is no system within the interface to move existing Passcards to a folder or move them around. The solution is to navigate to the source folder of the program to log in with Windows Explorer. To check the source folder location, go to the icon, then edit, view, options and from the popup in the side menu, click User Data.

Within the source folder, you can create new folders and subfolders and move Passcards to folders in the usual way for Windows Explorer windows. New folders and new locations for Passcards that have been created with Windows Explorer may not appear in the Roboform interface until after a reboot.

In the future, when you create a new login, you can choose to create it within a folder or subfolder.
